Today, we’ve prepared a concise guide to make granting access on Facebook a breeze!
First and foremost, without granting the appropriate access, the agency won’t be able to start working on Facebook (this applies to both advertising activities and managing a fan page, for example). Additionally, a lack of access to all the necessary elements of Facebook’s ecosystem (explained below) often leads to delays or even the inability to create certain campaigns. Therefore, we recommend handling this at the start of the cooperation so you won’t have to worry about it later.
Granting access on Facebook is, unfortunately, a bit more complicated than you might expect. Permissions can be given to individual elements of Facebook’s advertising ecosystem, and there are quite a few of them. You can grant access to:
The amount of access granted depends on factors such as the client’s existing resources and the scope of work being done with the agency. To avoid confusion and, most importantly, unexpected delays during operations, it’s a good idea to agree on what the agency will need and grant all necessary access at once, right at the start of the cooperation.
Access is also granted at different levels depending on the specific element. For example, access to a Facebook page can be given at the administrator, editor, moderator, or advertiser level. The permission level should be determined individually based on the scope of cooperation (e.g., without administrator-level permissions, an agency employee won’t be able to independently create Lead Ads forms used in campaigns). Administrator-level access ensures „peace of mind” for both parties since the agency can handle everything independently without involving the client.
The way you grant access depends primarily on two factors: the ad account and Business Manager. Below, we show how to grant access depending on the situation:
A. I Have an Ad Account and My Own Business Manager
B. I Have a Personal Ad Account
C. I Don’t Have an Ad Account/Business Manager
If you have an ad account and, most importantly, your own Business Manager, there are two ways to grant access. The first way is to invite the agency at the Partner level.
To do this, you need the agency’s Business Manager ID. If you have this number, go to Business Settings in your Business Manager, then Users and Partners. Click „Add” and select „Give a partner access to your assets.”
You’ll then enter the agency’s Business Manager ID.
After entering the ID, select the elements you want to grant access to (e.g., page, ad account, pixel, etc.). The agency will receive a notification via email, which they must confirm. Only after confirming the email will the agency receive access to all the elements you selected earlier.
Alternatively, the agency can request access to specific elements needed during the cooperation. For the agency to do this, just provide them with your Business Manager ID. You will then receive an email notification, which you need to confirm. After doing so, the agency will have access to the elements you approved, such as the page, ad account, pixel, etc.

Another way is to invite an agency employee to your Business Manager. To do this, go to the Users section, select „People,” and then click „Add.”
You’ll choose one of two access levels, and then grant access to specific elements such as pages, ad accounts, product catalogs, apps, and pixels.
Once you’ve selected all the necessary elements, click „invite.” The invited person will receive a notification at the email address you provided (it can be a work email) and will be asked to confirm the permissions. After completing this step, they’ll have access to all the elements you granted.
Having a personal ad account (one linked to an individual’s name) typically means there’s no Business Manager. While you can connect this account to any Business Manager, it will always remain the personal property of the individual. If it belongs to an employee and there’s a staffing change, this could lead to problems, such as the need to create a new account (losing historical data and pixel data on your website).
We recommend setting up an official, neutral ad account for the company, along with a Business Manager that’s not tied to a single employee. It’s a much safer solution.
Personal ad accounts also complicate access. While you can invite the agency to work on your ad account by going to ad account settings and selecting the „Roles” section, you can only invite Facebook friends to work on it.
To avoid having to add agency employees as friends just to grant access, you can reverse the process. The agency can request access to your ad account. All you need to do is provide the agency with your ad account ID, which can be found next to the account name.
The agency will send a request for access with a specific permission level, and the ad account administrator will receive an email and Facebook notification. After confirming the request, the agency will gain access to the account.
In this case, the agency will also need to send a separate request for access to the fan page (just provide the page name). The fan page administrator will receive an email and Facebook notification. After confirming the request, the agency will gain access to the page. The same process applies for other elements, such as the Facebook Pixel—just provide the agency with its ID, and you’ll receive an access request.
If you don’t have an ad account or Business Manager, don’t worry. Setting up both is very easy and only takes a few minutes.
Since the created ad account will always remain the property of the organization that created it, we recommend setting up the Business Manager and ad account yourself, with help from the agency if necessary.
In rare cases, the agency can create the ad account and link it to their Business Manager. However, be aware that the agency will always be the owner of this account.
To grant access to an account created by the agency, the agency must temporarily invite you to their Business Manager. The invitation will be sent to the agreed email address. After confirming the email, you’ll gain access to the ad account.
As you can see, having your own Business Manager and ad account is much more convenient for both parties.
